Town Square Layout News!
Based on the feedback we have received from merchants over the last couple of years we have decided to rotate and “stretch” Town Square to provide a maximum amount of merchant frontage feet without any side streets. Based on our rough estimations this adjusted layout allows for ~600 frontage feet. Here is an image of our tentative plan and is subject to change. To apply to merchant at An Tir West War add a merchant profile as part of your user profile, then complete the merchant registration found below

Your authorization to merchant is NOT confirmed until you receive an acceptance email from Praefectus Rufus and have paid your merchant fees.

This merchant registration application is for your business only. You must also register for your personal attendance at https://www.castrorum.com/atww40 to be admitted on site.

Merchant Fees are $45 + $1 per frontage foot of space in the Town Square. This year as a trial, we are also offering registration as a Wandering and/or Campsite merchant. At this time, the difference is that you will not be given space in the town square and you are NOT allowed to merchant in the Town Square area but since this is something new, we reserve the right to make changes and possibly add additional restrictions. If you wish to be a Wandering/Campsite merchant use this same application, but leave your dimension request as 0.

If you decide to pay your merchant fees by check or money order instead of PayPal, they are due promptly after submitting this application and must be post marked by June 1st, 2026. Your application will not be reviewed until a check has arrived and checks will not be deposited until your application has been approved.

For those paying with PayPal, invoices will be sent after you application is reviewed. Reviewal and PayPal invoicing is a manual process, so please allow up to 5 days to hear from us and receive your invoice.

Merchant setup will begin Monday, June 29th starting at 12:00 PM. We cannot allow anyone onsite before 12:00 PM as we need that time to lay out and finalize the site.

Merchants along with all of the general attendees must leave site no later than 3:00 PM on Sunday, July 5th.

This site does not have electricity available and cell signal is limited. There is water available at filling stations so please bring water storage and transport containers accordingly. If you are a food merchant, let us know and we will do our best to place you as close to the water supply as practical.

As this is an event with a medieval theme, we want to preserve the medieval character of the Merchants Row. Merchants shall wear appropriate SCA garb, your booths be medieval appropriate or “camouflaged”, and we ask that all merchandise for sale be of medieval character or SCA appropriate. Any intention to sell Alcohol must comply with county and state laws and must be listed in the Merchant Description.

You need to have a fire extinguisher if there is to be any fire of any size in or near your booth.

Oregon does not have a sales tax, so all merchants are free from having to collect one

To cancel a vendor registration, written notification must be postmarked no later than Jun 20th, 2026 to the above address or emailed by midnight June 20th, 2026 to merchant@antirwestwar.org. Include the following information: the name of your business, and the legal name(s) of the vendor(s) wishing to cancel. Written cancellation requests postmarked after the processing deadline will be honored, but no fees will be refunded. Once a registration has been canceled, it cannot be un-canceled.

It is the responsibility of the merchant to comply with any State, Local and/or Federal requirements for the nature of their business. The SCA and/or any local branch takes no responsibility for individual merchant non-compliance and the consequences incurred from such.

The SCA cannot impart its non-profit status to any merchant at any SCA event.
